AutoBook: automatic musician requests
Set the order once — AutoBook asks your players position by position, sends the reminders and moves on to the next person when someone says no or stays silent.
The problem AutoBook solves
If your band plays with changing line-ups, every gig starts with the same routine: message the first-choice bass player, wait, chase, wait again, then try the next one — for every position, for every date. Most of that work is waiting and remembering who you still have to chase.
AutoBook takes over exactly that part. You decide who is asked in which order; Bandleader sends the requests, keeps track of the deadlines and only gets back to you when a decision is actually needed.
How AutoBook works, step by step
- You build your musician pool and assign each musician to one or more positions (e.g. drums, bass, vocals) with a priority level: P1 is your first choice, P2 the backup, P3 the reserve, and so on.
- You create a gig with the positions it needs and start AutoBook.
- For each open position, AutoBook sends a request to the next suitable musician — ordered by priority level. Only one request per position is open at a time, so nobody gets booked twice.
- Musicians answer with Yes, No or “I need more time” — in the app or directly from the email.
- Yes fills the position. No, or no answer before the deadline, sends the request to the next musician in line.
Who gets asked — and who is skipped
AutoBook only picks musicians who can actually play the gig. A musician is skipped when they:
- are set to inactive in your pool,
- have already been asked for this position on this gig,
- already have an open or accepted request for another position on the same gig, or already fill one,
- have marked at least one of the gig days as “can't make it” in their availability calendar.
Within the same priority level, musicians are asked in alphabetical order, so the sequence is predictable.
Reminders and deadlines
Each request has a response window. Within that window AutoBook sends a first reminder, a second reminder and a final warning shortly before the deadline. You choose the pace band-wide in the AutoBook settings:
- Fast: reminders after 24 and 48 hours, next musician after 72 hours
- Normal (default): reminders after 48 and 96 hours, next musician after 6 days
- Slow: reminders after 72 and 144 hours, next musician after 9 days
- Custom: set your own reminder and deadline times
When the deadline passes and there is another suitable musician for the position, the request expires and the next person is asked. If nobody else is left, the request stays open rather than leaving the position empty — you see the open position in the gig and decide yourself.
“I need more time” is handled, not ignored
Sometimes a player needs to check another booking first. When they answer “I need more time”, the reminder cycle starts again for them. From the second time they ask for more time, you get an email and an in-app notification, so you can decide whether to wait or give the position to someone else.
Multi-day gigs
For festivals or tours spread over several days, musicians can say which days they can play. You see the partial availability in the gig and decide how to fill the remaining days.
Everything stays traceable
The AutoBook history of each gig shows when a request went out, when reminders were sent, when the deadline was and how the musician answered — including whether the answer came via the app, the musician's email or their management. You can export the history as CSV.

Frequently asked questions
- Does AutoBook ask several musicians for the same position at once?
- No. Per position there is one open request at a time. The next musician is only asked after a decline or when the deadline has passed.
- What happens if nobody accepts?
- AutoBook works through every suitable musician assigned to the position. If no one is left, the last request stays open and the position is shown as open in the gig, so you can step in.
- Can musicians answer without logging in?
- Yes. Every request email contains buttons for Yes, No and “I need more time”. Musicians with a login can also answer in the app.
- Can I change how fast AutoBook moves on?
- Yes. Choose Fast, Normal or Slow, or set your own reminder and deadline times in the AutoBook settings.
- Does AutoBook cost extra?
- No. AutoBook is included in the Bandleader plan for €3.99 per month.
